How Snow Cap handles website, inquiry, and client information.

Snow Cap Consulting, LLC (“Snow Cap,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit snowcapconsulting.com, contact us, or engage Snow Cap for consulting, training, Workflow Discovery, development, or managed AI services.

1. Information We Collect

Information you provide

  • Contact information, including your name, email address, company, optional phone number, and message submitted through our contact form.
  • Business information you provide during an inquiry, Initial Consultation, Workflow Discovery, onboarding, or an active engagement.
  • Documents, workflow details, system information, instructions, and other materials you authorize us to use when delivering services.
  • Communications, feedback, approvals, and support requests.

Information collected automatically

  • Website activity such as pages viewed, approximate location, referral source, browser and device information, and interaction events collected through Google Analytics.
  • Technical and security signals used by Cloudflare Turnstile to distinguish legitimate visitors from automated abuse.
  • Standard server logs, which may include IP address, request time, requested page, browser information, and security events.

2. How We Use Information

We use information to:

  • Respond to inquiries and communicate with prospective and current clients.
  • Evaluate fit during an Initial Consultation and perform an authorized Workflow Discovery.
  • Design, deliver, operate, secure, monitor, support, and improve Snow Cap services.
  • Understand website performance and improve the visitor experience.
  • Prevent spam, fraud, abuse, and other security threats.
  • Maintain business records and comply with legal obligations.

3. AI and Automated Processing

Snow Cap uses artificial intelligence and automation technologies as part of its services. When an engagement requires client information to be processed by an AI or automation provider, we use that information only to perform the authorized work and apply the access, review, and operational controls agreed for the engagement.

  • Client information is not sold and is not shared across clients.
  • Access is limited to the people, systems, and service providers needed to deliver and support the authorized workflow.
  • Human review, approval steps, permissions, escalation paths, and retention practices are defined according to the workflow and engagement.
  • Provider terms, technical controls, and data-handling options vary. Project-specific requirements are addressed during contracting and implementation.

4. Client Materials and Confidentiality

Client materials may include internal documents, process information, system data, customer information, credentials, or other confidential business information. We use reasonable administrative, technical, and organizational safeguards to limit access and protect these materials. We do not disclose client materials except as necessary to deliver authorized services, with the client’s direction, or as required by law.

5. Cookies, Analytics, and Spam Prevention

Google Analytics uses cookies and similar technologies to help us understand website traffic and interaction patterns. Google describes the information collected by its standard implementation and the controls available to visitors in its Analytics privacy and data safeguards. You can also use the Google Analytics opt-out browser add-on.

Cloudflare Turnstile helps protect the contact form from automated spam and abuse. Turnstile may process technical signals needed to assess whether a request is legitimate. Cloudflare describes its practices in the Cloudflare Privacy Policy.

You can manage or delete cookies through your browser settings. Blocking cookies may affect how some website features work. Our website does not currently respond to browser “Do Not Track” signals.

6. How We Share Information

We do not sell or rent personal information. We may disclose information to:

  • Service providers that support hosting, email delivery, analytics, security, communications, development, and authorized client workflows, including providers such as Amazon Web Services, Google, and Cloudflare.
  • Professional advisers such as legal, accounting, insurance, or security professionals when reasonably necessary.
  • Government authorities or other parties when required by law, legal process, or to protect the rights, property, or safety of Snow Cap, our clients, or others.
  • A successor or acquiring organization in connection with a merger, acquisition, financing, reorganization, or sale of all or part of the business, subject to appropriate confidentiality protections.

7. Data Retention

  • Contact and inquiry information is generally retained for up to three years after the last interaction, unless a shorter or longer period is needed for legal, contractual, or legitimate business purposes.
  • Client materials are retained according to the applicable agreement and operational needs. Unless otherwise agreed, we ordinarily delete or return project materials within 12 months after the engagement ends, subject to backups, legal obligations, and records needed to document the work performed.
  • Website analytics information is retained according to our Google Analytics settings and Google’s applicable retention controls.
  • Security and server records are retained only as long as reasonably necessary for operations, troubleshooting, and abuse prevention.

8. Data Security

We use reasonable safeguards designed to protect information, including encrypted transmission, access controls, secure infrastructure, and workflow-specific permissions. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Your Rights and Choices

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of personal information we maintain about you. You may also have the right to object to or restrict certain processing. To make a request, use our contact form and begin your message with “Privacy Request.” We may need to verify your identity and may retain information where permitted or required by law.

10. California Privacy Rights

California residents may have additional rights under applicable California privacy laws, including rights to know, correct, or delete personal information and to receive information about how it is disclosed. Snow Cap does not sell personal information. We will not discriminate against you for exercising an applicable privacy right. 11. Children’s Privacy

Our website and services are intended for businesses and are not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

12. Changes to This Policy

We may update this Privacy Policy to reflect changes in our services, practices, technology, or legal obligations. When we make changes, we will revise the effective date above. The current version will remain available at snowcapconsulting.com/privacy-policy/.
